What is Hot Desking?

Hot-desking is an organizational workspace system in which desks are used by different people at different times, on an ad hoc basis. Typically, the aim is to maximize space efficiency and lessen real estate risk by reducing redundant office space. Hot desks can be implemented in private offices as well as coworking spaces. The flexibility associated with hot-desking is often linked to an increase in employee innovation, while the social aspect is cited as a way to encourage cross-disciplinary collaboration. (Bishop, 2021)

‘Hot Desking’ refers to a working arrangement where employees in an organisation have no assigned workstations. Desks are allocated on a first-come first-served basis. As opposed to the traditional office set-up, workers have more flexibility over where they decide to work in an open-plan office. (workingwise, n.d.)


How does Hot Desking work?

Essentially, hot desking is a space where desks are available to all in the office which can be booked for a certain period of time. With many people working from home, visiting other office locations or out at meetings, not every employee needs a permanent desk. By not having fixed desk and floor plans, it means remote workers or colleagues from another location can book their own workspace and socialize with their colleagues. This can help them to feel more like part of the team while also making the best use of office space (condeco, 2021)

Hot desking can be an ideal fix for the employees who are depressed working from the same location over a considerable period of time. By changing the working environment each day improves creativity of the employees and encourages them to think from a new perspective and to explore ideas unconventionally.

 

Cons of Hot Desking - Organization’s Prospective

  • Desk Availability is Not Guaranteed

Hot desking comes with underlying limitations, which may result in employee frustration and time loss. There can be days where no desk seems available, and the employees have to wait for a desk to become accessible or find another place to work

  • Lack of Options

Even if the employees manage to find a desk, they will come to realize that all the good locations have already been claimed, leaving them with distracting spaces where it's difficult for them to stay focused and will distract their effectiveness.

  • Health Issues

When you implement hot desking, the possibility of an employee with an illness contaminating the desk increases if more individuals use it frequently. You’ll need to make an extra effort to educate employees regarding their personal hygiene and safety precautions. Supplying sanitizers and hiring more staff to clean desks after use can be costly for the organization.



Conclusion

Hybrid work life becomes more trending in the present transforming business environment. Hot desking allows employees to choose their workspace based on their tasks and preferences. Employees can work from any location as long as it suits their requirements and flexibly manage their work schedule. They can select a quiet corner for focused work or a communal area for collaboration. Having options can lead to higher satisfaction with their work setup.

Hot desking offers adaptability for a changing work environment where the employees could continue to work efficiently. This can be helpful when there are office relocations or remote work periods due to internal and external reasons. During the covid 19 pandemic when social distancing was encouraged, and during the period where the country experienced transportation issues due to the fuel scarcity, employees adjusted and positively responded to the changing conditions with ease, which had supported the businesses to survive during the crisis period.

With hot desking employees are allowed to change their daily routine and have the opportunity to engage with multiple coworkers and involve in their work in different locations. This may avoid boredom and promote communication and cooperation between colleagues from other departments or teams. A sense of unity and cooperation can be promoted by these enhanced social skills and these qualities can lower stress frequently and lead to increased job satisfaction.
