What is Job Description?

A “Job Description” is a tool that provides an overview of the responsibilities and tasks associated with a job in an organization. (Kumar, 2023)


Basic job-related information is included in job descriptions, which are helpful in advertising a particular position and drawing in applicants. This will help applicants to evaluate whether the position meets their preferences, goals, abilities, and interests. 

 

It includes information such as job title, job location, job summary, working conditions, nature and objectives of the job, tasks, and duties to be performed.

 


Purpose of Job Description

  • The primary objective of a job description is to gather job-related information to advertise for a certain job in the organization. It helps to attract, target, recruit, and select the most suitable candidate for the position.
  • This is carried out to ascertain what needs to be delivered in a particular job. It makes clear what workers are expected to do if they are chosen for that specific position.
  • It provides the recruiting staff with a clear view of what kind of applicant each department or division needs to perform a specific task or job.
  • It makes it clear to whom each person will have to report.

  • It serves as the foundation for the selection standards that the selected candidates for jobs will subsequently be evaluated against.

Employee Profile: Also known as Job Specification


What is Job Specification?

A “Job Specification” outlines the qualities required to perform a job. It highlights the characteristics, skills, educational qualifications, and work experience that a candidate needs to fulfill the tasks mentioned in the Job Description. The job specification also includes demands and prerequisites for candidates who will fill the position. (Kumar, 2023)

 

A job specification is a written statement of educational background, unique characteristics, experience level, and the technical, emotional, physical, and communication abilities needed to execute a job. Apart from them, it contains general health, mental health, leadership skills, intelligence, aptitude, memory, judgment, emotional intelligence, flexibility, adaptability, and values and ethics, etiquette, creativity, etc.


Purpose of Job Specification

  • Job specification helps candidates to decide whether they are qualified and eligible to apply for the particular job vacancy or not, described on job description.
  • It helps the recruiting team of the organization to understand what level of qualifications, qualities and set of characteristics should be possessed by a candidate, in order to consider them as eligible for the position.
  • Job Specification provides comprehensive data about the job including job responsibilities, technical and physical skills required, conversational ability etc.
  • It enables the organization to select the most appropriate candidate for a particular job.

  • Saves time during the screening process, to select applications that are most suitable to the job requirements when there are several applicants.
  • HR managers can assess employees and provide them with necessary training by using the job specification as a standard.
  • Play a role in the organizations to evaluate employees during promotions and performance reviews.
